As a member of the Administrative Resource Team (ART), the Administrative Assistant to VP provides high-level administrative support to one or more members of the Senior Leadership Team (SLT) for a broad range of responsibilities, projects and committees, ensuring smooth and efficient operations within the organization in alignment with corporate goals. Working as a strong, collaborative team, each ART member has an assignment of core responsibilities and works with the team to share workload demands.

This role is integral in managing the day-to-day activities of the SLT, including coordination of meetings, management of multiple schedules, handling confidential information, and acting as a liaison between SLT and internal/external stakeholders in a professional manner. The Administrative Assistant plays a critical role in enhancing the productivity of SLT, facilitating communication across departments, and contributing to the overall efficiency and effectiveness of the organization.

This position requires exceptional technical, organizational and communication skills, and the ability to anticipate the needs of the executives to support their strategic objectives. Effective critical thinking, problem solving and time management skills is essential. Flexible work hours to support a variety of committees and meet deadlines is required.

Qualifications / Skills / Abilities:

Required

  • Successful completion of a post-secondary office administration program, and one to three years administrative/secretarial experience, preferably at a senior level
  • Experience working in a health care environment is an asset as is experience with liaising with public, staff, and board member
  • Intermediate to advanced level computer skills including Microsoft Outlook, Excel, Word, Power Point and internet-based applications such as virtual meeting platforms and file sharing portals (to be tested)
  • Keyboarding skills of minimum 60 words per minute
  • Excellent written communication and proofreading skills (to be tested)
  • Experience with developing schedules and use of database software is an asset
  • Produce accurate, timely agendas, minutes/action summaries for circulation and historical record
  • Ability to develop attractive and detailed reports, newsletters, PowerPoint presentations, and other correspondence such as letters, memos
  • Knowledge of meeting and committee process and procedures
  • Work collaboratively as a team player and ability to work well independently
  • Excellent organizational, communication and interpersonal skills
  • Excellent critical thinking and problem solving skills
  • The ability to manage concurrent tasks and unexpected demands, organize/prioritize a changing workload while completing assignments in an accurate and timely manner
  • Ability to effectively maintain confidentiality
  • Ability to travel to other sites as required
  • General knowledge of the corporation and its six Hospital sites
  • Recent satisfactory performance and attendance record
